Your store, your Stripe account, your money

The Bitxy OS Online Store module connects your public storefront directly to your own Stripe account. Payments go to your account — Bitxy OS does not participate in the financial transaction or retain any commission on sales.

What is the Online Store?

The Online Store is a module integrated into Bitxy OS that lets you publish a public storefront accessible from any browser, without your customers needing to create an account. Each company on the platform can activate its own store with a unique URL, its own catalog, brand colors and a configured payment gateway.

The store is designed for businesses that already use Bitxy OS as a CRM and want to also centralize their online sales, without migrating to Shopify, WooCommerce or other independent platforms. Orders arrive directly in your CRM, in the Sales → Orders module.

Setup Guide

Follow these steps to have your store active and ready to receive orders. The full process takes approximately 10 minutes.

Step 1 — Access the Sales module

Go to Sales → Dashboard In the Bitxy OS sidebar, navigate to Sales. From the Dashboard or Inventory you will find the "Configure Store" button.

Open the setup wizard The assistant has 4 steps: Template & colors → Visuals & banner → Content → General. You can save it at any time and continue later.

Step 2 — Design and content

Choose colors and template (Step 1) Select the visual template, primary and secondary colors for your store. These colors apply to buttons, headings and highlighted elements.

Upload your logo and banner (Step 2) Enter the URLs for your logo and hero banner. You can host them on any image service (Cloudinary, S3, etc.). You also define the hero title and subtitle.

Add bio, features and testimonials (Step 3) You can use the built-in AI to generate a description of your store. Add customer testimonials with a 1 to 5 star rating.

WhatsApp, networks and announcement bar (Step 4) Set up your WhatsApp number (with country prefix), Instagram, Facebook, TikTok and an announcement bar with custom text and color.

Step 3 — Add your products

Go to Sales → Inventory Create your products with name, description, category, regular price, sale price (optional) and stock quantity. Activate or deactivate each product individually.

Create discount coupons From the Coupons section in Inventory, define codes with percentage or fixed discount, minimum purchase amount, expiration date and maximum number of uses.

Step 4 — Activate your store

Activate the "Store active" switch In Step 4 of the wizard, the "Store active" toggle makes your store visible to the public. Deactivate it temporarily if you need to make changes without your customers seeing the store.

Copy and share your store link Your store is accessible at a unique URL with the format app.bitxyos.com/store/public?idstore=.... You can share it on social media, WhatsApp or as a link in your bio.

Stripe Payments

The payments module uses Stripe Checkout: when paying, the customer is redirected to the secure Stripe page, completes the payment and is automatically returned to your store with the order confirmed.

Live API keys only

Bitxy OS does not offer a test environment for the store module. You must enter only your Live API Keys. Test keys will not process real payments.

Prerequisites

  • Have an active Stripe account at stripe.com
  • Complete identity and banking verification in Stripe
  • Have card payments enabled in your Stripe account (production mode must be activated)

Step by step — configure Stripe in your store

Get your API keys Go to dashboard.stripe.com/apikeys and copy the Publishable key (pk_live_...) and the Secret key (sk_live_...). Keep the secret key in a safe place, do not share it.

Enter the keys in Bitxy OS Go to Sales → Dashboard → Configure Store → Step 4 → Online payments. Enable the switch, enter your publishable key and secret key, and set the currency (e.g. mxn for Mexican pesos).

Copy the webhook URL In the same section, you will see the webhook URL generated for your store. Copy it with the button.

Register the webhook in Stripe Go to dashboard.stripe.com/webhooks → Add endpoint. Paste the copied URL. Under Events to listen to, select: checkout.session.completed and checkout.session.expired.

Copy the Webhook Secret When saving the endpoint in Stripe, you will get a Signing Secret with format whsec_.... Copy it and paste it in the "Webhook secret" field in Bitxy OS.

Save the configuration and test Save the wizard. Make a test purchase in your store to verify the complete flow works: cart → payment in Stripe → order confirmation in CRM.

How does the payment flow work?

When a customer completes checkout in your store, the system creates a Stripe Checkout session with the exact cart amount. The customer is redirected to the Stripe page, pays by card, and returns to your store. Stripe sends a confirmation to the webhook, which updates the order to Confirmed and deducts stock automatically.

→ Stripe Checkout (secure payment)
→ Returns to your store
→ Webhook confirms payment
→ Order marked as Confirmed
→ Email to customer + notification to your team

Webhook security

The webhook secret (whsec_...) is what allows the Bitxy OS server to verify that notifications genuinely come from Stripe and not from third parties. Without this secret configured, orders will not be confirmed automatically even if the customer pays.

Order Management

All orders placed in your store appear in Sales → Orders within the CRM. You can view the full history, filter by status and update each order's status manually.

Order statuses

  • Pending: The customer started checkout. If you use Stripe, the payment has not been completed yet.
  • Confirmed: Payment was processed successfully (Stripe confirms it automatically via webhook).
  • In preparation: Your team is preparing the order.
  • Shipped / Ready for pickup: The order is on its way or available for pickup in store.
  • Delivered: The customer received their order.
  • Cancelled: The order was cancelled (manually or because the payment expired in Stripe).

Automatic notifications

Every time an order is confirmed via Stripe, the system sends:

  • To the customer: Email with the purchase summary, item breakdown, delivery method and store contact details.
  • To your team: Notification to all active users of your company with order details and a direct link to the CRM.

Automatic stock

When an order is confirmed, the system automatically deducts the stock of each product. If a product reaches 0 units, it stops showing as available in the store until you update the inventory.

Read this notice before activating your store

Use of the Online Store module implies acceptance of the conditions described below. These conditions supplement the general Terms and Conditions of Bitxy OS.

User operator responsibility

🏢 Your company is responsible for the store

The user who activates and operates the online store is solely responsible for: the accuracy and legality of published products, compliance with tax obligations arising from sales (invoicing, income reporting, VAT), delivery of products to buyers, after-sales customer service, and compliance with consumer protection laws applicable in their jurisdiction.

Limitation of Bitxy OS liability

🛡️ Bitxy OS is not part of the commercial transaction

Bitxy OS acts exclusively as a software provider. It is not a seller, commercial intermediary or party to any transaction between the store operator and their customers. Bitxy OS does not hold funds, does not handle payments, does not issue tax receipts on behalf of third parties and has no liability for failures in product or service delivery.

💳 Regarding Stripe

Stripe is an independent payment service provider subject to its own Terms of Service. Bitxy OS does not control Stripe's decisions regarding the enabling, suspension or closure of Stripe accounts. Disputes, chargebacks, refunds and any payment incidents must be resolved directly between the operator and Stripe. Bitxy OS does not intervene in these processes nor can it modify the outcome of disputes on the Stripe platform.

Use of Stripe credentials

🔑 Credentials confidentiality

Stripe API keys (publishable, secret and webhook secret) are confidential credentials of your Stripe account. The operator is solely responsible for their custody. Bitxy OS stores the secret key and webhook secret in encrypted form and uses them exclusively to process your store's payments. Bitxy OS does not share these credentials with third parties or use them for any purpose other than processing your store's payments.

No guarantee of continuous processing

⚡ Service availability

Bitxy OS does not guarantee that the payments module will be available without interruption. Outages in the Stripe API, Bitxy OS infrastructure or network connectivity may temporarily prevent payment processing. In these cases, orders may remain in "Pending" status until the service is restored. It is recommended to provide customers with an alternative contact channel (WhatsApp, email) in case of technical failure.

Tax and legal obligations

The store operator is responsible for complying with all tax and legal obligations arising from operating an e-commerce business in their country. This includes, but is not limited to: Registration with the SAT (Mexico) or equivalent tax authority, issuance of tax receipts (CFDI or equivalent), payment of sales taxes (VAT, income tax or others), and compliance with the Federal Consumer Protection Law or equivalent standard.
